1

Signing In

Your login details are set up by the doctor. Contact them if you need your credentials.

1

Enter your mobile number and password

Open OPD Desk Pro. Enter your 10-digit registered mobile number and the password your doctor gave you. Tap Sign In โ†’.

๐Ÿ”’ Don't share your login with anyone. Each person should have their own account.

2

The app opens directly to the OPD list

Clinic Assistants are taken straight to today's OPD screen after login โ€” no extra steps. The app shows your clinic name in the header.

โœ“ If you see "Account Error", contact your doctor. Do not call the support number yourself โ€” only the doctor handles account issues.

2

Reading the OPD List

This is the main screen you'll use all day long.

1

The date strip at the top

Shows several days in a row. The selected day is highlighted in teal. Greyed-out dates are closed days (based on the doctor's schedule). Today has a white outline.

OPD list
2

The stats bar

Just below the dates: Total (all tokens), Waiting (not yet seen), and Done. Glance here to know how busy the queue is.

3

Understanding each token card

Each card shows: token number, patient name, phone, fee (โ‚น), and a colour-coded status badge:

Scheduled Arrived Done Missed
๐Ÿ“ž Tap the phone icon on a card to call the patient directly.

3

Registering a New Patient Token

The most common task. Takes less than 30 seconds once you know the patient's phone number.

โ„น๏ธ Always ask for the patient's 10-digit mobile number first. The app searches by phone โ€” if they've been here before, their details fill in automatically.
1

Tap the + New Token button

It's the teal floating button at the bottom-right of the OPD screen. A panel slides up from the bottom.

New token sheet
2

Pick the appointment date

The date row shows the next 14 days. Tap the date the patient is coming. Closed days are greyed out and cannot be selected.

3

Enter the patient's phone number

Type their 10-digit mobile number. If they are an existing patient, their name and age will auto-fill โ€” just verify the details are correct.

4

Fill in details for a new patient

If the patient is new, fill in their Full Name. Age is optional. Double-check the phone number before saving โ€” it's used to find them in future visits.

โœ“ Write the name in full (e.g., "Ramesh Kumar", not "Ramesh K") so the doctor can find them easily later.
5

Select a time slot (if your clinic has multiple)

If the doctor has a morning and evening session, pick the correct one. If there is only one slot for that day, it is selected automatically.

6

Confirm the fee and tap Create Token

The consultation fee is pre-filled. You can change it only if the doctor has authorised a different charge. Tap Create Token. The token appears immediately in the OPD list.

โš ๏ธ Do not change the fee without the doctor's instruction.

4

Updating a Patient's Status

Keep the OPD list accurate as patients arrive and leave.

1

Tap any token card to open the action panel

A sheet slides up showing the patient's details and available actions.

Status update
2

Mark Arrived โ€” when the patient walks in

As soon as a patient arrives at the clinic, tap their token and tap Mark Arrived. Their badge turns teal. This lets the doctor know who is waiting.

3

Mark Done โ€” after the consultation

Once the doctor has seen the patient and the fee is collected, tap Mark Done + Fee Collected. The badge turns green. This updates the doctor's revenue count.

4

Mark Missed โ€” if the patient didn't come

At the end of the day, go through any remaining Scheduled tokens and tap Mark Missed for patients who did not show up.

๐Ÿ’ก Do this at the end of each day so the list stays clean for tomorrow.
5

Reschedule โ€” if the patient calls to change their date

Tap the token, then tap Reschedule, and pick the new date. The token will move to the new date automatically.

โš ๏ธ You cannot reschedule to a date that the doctor has blocked (holidays, leave days).

5

Searching Patient Records

Find any patient by name or phone number.

1

Open the Patients tab

Tap Patients in the bottom navigation. All patients are listed Aโ€“Z. Drag the letter bar on the right to jump to a section.

Patients list
2

Search by phone number

Type the patient's 10-digit number in the search bar at the top. Matching patients appear instantly. Tap a result to view their visit history.

3

What you can see in patient history

Each past visit shows: clinic name, date, status (Done/Missed etc.), fee charged, and any notes. You cannot edit past visit records.

6

Sending WhatsApp Reminders

Remind patients about upcoming appointments with one tap.

1

Open the token and tap Send WhatsApp

Tap any token card โ†’ tap Send WhatsApp. WhatsApp opens with a pre-written message containing the patient's appointment date and time.

2

Review and send

The message is pre-filled. You can add a line if needed. Tap the send button in WhatsApp. That's it.

๐Ÿ’ก Best time to send reminders: the evening before the appointment.

7

Settings

Limited settings are available to clinic assistants.

1

Sign Out

Go to Settings โ†’ Sign Out. Always sign out when handing the device to someone else or at the end of the day.

Daily Tips for a Smooth OPD

Best practices to keep everything running efficiently.

โ˜…

Always search by phone number before creating a new patient

This avoids duplicate records. Even if the patient says they've never been here, type their number first โ€” they may have visited under a different name entry.

โ˜…

Mark Arrived as soon as the patient enters

Don't wait until the doctor calls them in. The doctor checks their phone to see how many patients are waiting โ€” real-time updates help them plan.

โ˜…

Clean up Missed tokens every evening

Before closing, go through today's list and mark any Scheduled patients who didn't show as Missed. This keeps the doctor's revenue data accurate.

โ˜…

Pull down to refresh if the list looks outdated

Swipe down on any list screen to reload the latest data from the server. Do this if you just came back from a break or if something looks off.

โ˜…

No internet? The app still works

OPD Desk Pro works offline. Data syncs automatically when you're back online. You'll see a small indicator when you're offline โ€” don't panic, keep working.
